Thermo Fisher Scientific is seeking an experienced and dyanamic Project Manager / Legal System Manager. This role provides leadership and oversight of Legal projects aimed at process improvement, with a significant emphasis on implementing Legal systems and software to increase efficiencies through document management, automation, digitization and automated workflow processes. The successful candidate will be required to independently plan, execute and finalize projects according to basic Project Management principles, meeting strict deadlines within budget. This includes ensuring that project initiatives are completed, regularly tracked and monitored. In addition, this position provides comprehensive trainings and demonstrations on newly implemented systems/software and works effectively with the internal IT department to assist with the execution, management and scalability of existing and new systems/software across Thermo Fisher. The successful candidate will be prepared to report on the status of work at any given time. This role is expected to define the project’s objectives and oversee quality control throughout its life cycle ensuring appropriate risk mitigation and change management principals are applied in the area and/or with groups impacted by the project.

Project Management

  • Independently develop project plans, establish timelines and determine project budget and resources if necessary to ensure projects are delivered on‐time, within scope and within budget.

  • Effectively communicate with project stakeholders to gather project requirements and scope of work and project expectations in a timely and clear fashion.

  • Continuously improve project management tasks and milestones using feedback and lessons learned as input into existing or future project plans.

  • Track project milestones and deliverables and provide regular updates to upper management, managing changes in project scope, schedule and costs when necessary.

  • Ensure resource availability and allocation.

  • Develop and maintain comprehensive best practices for project documentation on the appropriate project management and tracking tools.

  • Measure project performance using appropriate systems, tools and techniques i.e – iConnect, Project Charters, gathering metrics and statistics from customers, etc.

  • Efficiently analyze and synthesize a large amount of project metric data to present in a concise manner to various groups within Legal Ops and Thermo Fisher.

  • Possess the ability and willingness to take on various assignments in a fast paced organization, and make sound recommendations, sometimes with incomplete information.

  • Demonstrated ability to project team conference calls and WebEx presentations.

Systems Administration & Training

  • Proactively identify system/software solutions for Legal business processes.

  • Make recommendations for and assist with implementing and managing future systems and/or upgrades.

  • Effectively liaise with internal IT and/or vendors to determine infrastructure requirements for systems and facilitate systems/software implementation.

  • Demonstrated experience with multiple technology platforms.

  • Ability to quickly become skillful in varying and multiple systems (i.e. iManage, Documentum, ServiceNow, ContractExpress, eCounsel, SecuriMate, FileMaker, Salesforce.com, FormVerse, ProcessMaker, etc.) and provide clear guidance and training to team and customers.

  • Provide effective systems/software trainings and demonstrations to groups and individual business and legal users of various levels within the organization on multiple Legal Operations tools and systems.

  • Manage administrative tasks for the Legal business systems including template coding, workflow configuration and requested system changes.

  • Create clear and accurate training materials and SOP’s as needed.

  • Troubleshoot, escalate and resolve system issues and customer errors in an expedient manner.

  • Enable user access to Legal systems when required.

Preferred Background/Skills:

  • Bachelors degree or higher

  • 5+ years direct work experience in managing multiple systems, direct systems training, and project management capacity, including all aspects of process development and execution.

  • Can conform to shifting priorities, demands and timelines through analytical and problem-solving capabilities; flexible during times of change.

  • Able to interface effectively with a diverse audience including senior leadership.

  • Adept focus to attention to detail and ability to identify efficiencies and mitigate risks.

  • Excellent verbal and written communication and analytical skills; can flex communication style based on different situations.

  • Ability to effectively prioritize and execute tasks in a high-pressure environment is crucial.

  • Lead through influence across a cross‐functional set of global stakeholders.

  • Independently prioritize and solve complex problems with proper judgment.

  • Technically competent with various technologies, software programs, systems and tools and must be able to learn, understand, and apply new technologies, software programs, systems and tools.

  • Strong leadership skills to coordinate and facilitate activities and colleagues.

  • Ability to handle sensitive and confidential situations with diplomacy.

  • Experience at working both independently and in a team-oriented, collaborative environment is essential.

  • Experience with creating training videos with video editing software a plus.

  • Advanced experience with Microsoft Office suite of products.

  • Experience with SharePoint, Power BI and Office 365 tools a plus.
